Regulations for guests of Exclusive Apartments

1. General conditions
Regulations define terms and conditions of reservation and rental of hotel accommodation offered at www.ea.wroclaw.pl. Making reservation by the Client is equivalent of reading and accepting below regulations. Reservation is a conclusion of accommodation rental agreement between Exclusive Apartments and the Customer under the conditions specified in below regulations and price list.

2. Rental agreement
The agreement between Exclusive Apartments and the Customer covers only rental of the apartment. Travel organization, and time planning during the stay is a responsibility of the Customer. Apartment rental includes charges for utilities (gas, electricity, water) and final cleaning. Exclusive Apartments will charge no additional fees beyond those indicated on the website. All apartments are furnished and have fully equipped kitchenettes. Exclusive Apartments offers hotel linens and towels with no extra charge.

3. Reservation
To make reservation please contact Reception of Exclusive Apartments by phone or by e-mail. Telephone booking requires subsequent confirmation by e-mail, lack of this action:
- if booking was made on arrival day – will cause booking cancellation at 6 p.m.
- if booking was made in at least one day in advance – will cause booking cancellation after 24H from the phone conversation.

To make reservation please specify:
- name
- date of reservation
- number of people in the apartment
- arrival time
- credit card information (card number, expiry date, CVC number) in order to guarantee reservation or to pay in advance 30% of total reservation cost within three days from when it was made.

Each reservation done at Exclusive Apartments is guaranteed and can be cancelled until 6 p.m. on arrival day in written form. No-show or lack of cancellation i specified time will result in:
- in case of guarantee by credit card Guest will be charged for the first unused night
- in case of guarantee by prepayment, money deposit will be not refundable.

 

Exclusive Apartments reserves the right to pre-authorize Guest credit card before arrival.

 

During high season, fair periods, important cultural or political events in Wrocław or long weekends Exclusive Apartments has a right to exact 100% pre-payment for total reservation, without possibility of booking cancellation.

“Hot deal” meaning special price offers are always pre-paid in total amount and are non-refundable.

 

4. Hotel day (check-in / check-out time)
Check-in starts at 2 p.m. on arrival day, check-out finishes at 11 a.m. on departure day.
- Early check-in: early check-in is possible upon availability after consulting with Reception Office
- Late check-out: late check-out is possible upon availability after consulting with Reception Office, late check-out is paid extra:
• Extension of stay till 2 p.m. fee of 25% of daily rate.
• Extension of stay till 6 p.m. fee of 50% of daily rate.

5. Check-in procedure (key collection and payment)
During check-in Guest is obligated to show the Receptionist identity card with photo and credit card with expiry date and CVC number.

Exclusive Apartments reserves the right to refuse check-in of Guest who:
• doesn’t have or doesn’t want to show a valid identity card
• is under influence of alcohol or other drugs
• during the previous stay grossly broke Exclusive Apartments regulations.
Reception Office of Exclusive Apartments is opened:
Monday – Friday 09:00-22:00
Saturday – Sunday & Holidays 11:00-19:00

Guests arriving during above hours are invited to the Reception
(address: Wrocław, 3 Krawiecka Street, office no. 10 on the 1st floor).
Payment for whole stay is done in advance during check-in.

Arrival at night and key collection at the apartment
There is possibility to pick up the keys at the apartment at any time of day. Such reservation must be guaranteed with credit card (by providing card number, it’s expiry date and CVC number). Reservation may be cancelled at least one day before arrival. On the arrival day before delivering the keys to the place of accommodation Hotel will charge Guests’ credit card for the entire stay.

Late arrival
Guests arriving after Reception working hours are obligated to guarantee their reservation with credit card (by providing card number, it’s expiry date and CVC number). Such reservation may be cancelled at least one day before arrival. On the arrival day before delivering the keys to the place of accommodation Hotel will charge Guests’ credit card for the entire stay.

6. Check-out

During check-in Hotel Receptionist always inform where to leave the keys. This information is also posted on the information card given to the Guest together with keys. Loss of keys results with a fine of 300 PLN.

Loss of garage magnetic card or remote control result with a fine of 100 PLN each.

Loss of USB wireless internet modem result with a fine of 300 PLN.

 

7. Silence at night
Guests are obligated to obey the principles of good neighborhood, especially the rule of silence at night hours between 10 in the evening and 6 in the morning. In the case of disturbance Exclusive Apartments has the right to impose a penalty in amount of 1000 PLN.

8. Responsibility for the apartment
Guests are required to maintain the apartment in the same condition like on arrival day.
- In case of damage of the apartment guest is required to pay compensation to fully cover the value of losses. Payment must be done before departure directly to the person responsible for the keys.
- Every time exiting the apartment Guest is requested to close all windows and close the door locks.

9. Smoking is not allowed
Smoking is not allowed in the apartment. Breaking non-smoking rule may occur with penalty of 500 PLN.

10. Price list
Public rate for apartments are displayed on www.ea.wroclaw.pl. Exclusive Apartments has the right to change the price list for selected periods.

11. Children at Exclusive Apartments
For all children under 10 years old stay free when sharing the apartment with parents on existing bedding. Older children and adults extra fee of 50 PLN per day per person (extra bed is included in rate). Hotel offers cots, extra fee of 20 PLN per day.

12. Animals
Animals are not accepted.

13. Special situations
In the case of unforeseen circumstances which effects can’t be eliminated immediately, Exclusive Apartments reserves the right to offer the Guest a substitute accommodation similar to the booked option. In case of event of force majeure Exclusive Apartments has right to terminate the agreement. This also applies to situations in which the Guests’ security or Guests’ property will not be safe, for reasons beyond Exclusive Apartments. Amount paid by the Client shall be immediately refunded, minus the fee for services already rendered.

14. Failures
Exclusive Apartments obligates to remove any defects arising in the apartment without delay as soon as possible. Failure resulting from factors beyond the Exclusive Apartments (delivery of media including the Internet, equipment failures found in the apartment) do not constitute a reason for cancellation of a reservation - the Customer is obliged to pay for the entire reservation.

15. Deposit
Exclusive Apartments reserves the right to pre-authorize Guest’s credit card during check-in or to take a deposit of 1000 PLN as a guarantee for the apartment or 200 PLN for borrowed equipment such as USB modem.

16. Personal data
Personal information (e-mail address) provided by the Customer will be used only for the purpose of reservation and to communicate about seasonal promotions. The Customer has the right to withdraw from participation in promotional campaigns.

17. Dispute settling
The law applicable to disputes between Exclusive Apartments and the Customer is the Polish law. Disputes will be settled by the court competent for the premises of Exclusive Apartments.

18. Final provisions
- Number of people staying in the apartment can’t be greater than indicated during reservation process. In case of exceeding this number, Exclusive Apartments has the right to charge a fee for each additional person or terminate the reservation immediately without refund.
- Please do not leave valuable belongings in the apartment - Exclusive Apartments doesn’t take responsibility for any loss or damage.
